Event Co-ordinator, Registration (Contract)

ME&IT | Mississauga, Ontario, Canada

The main purpose of this position is to provide attendee management and reporting to the development and delivery of our Meetings, Events and Incentive Travel business.

This position reports to the Event Coordinator Manager, ME&IT.

As our Registration Coordinator, you will:

  • Be responsible for all attendee management requirements, including, but not limited to:
  • Development of the registration website (developing content and testing) to ensure client requirements are met during reporting
  • Set up client reports (as per required per program) (Advanced Excel skills are an asset)
  • Manage phone lines and e-mails and engage with attendees in a professional matter, making sure that all requests are action accordingly
  • Work closely with the Air team to ensure flights/hotels are aligned
  • Work closely with Hotel contacts to manage extensions and room blocks
  • Set up program reports and update Event Manager on a weekly/requested basis on the following:
  • Number of attendees registered
  • Manage Rooming Lists
  • Manage Activities Lists
  • Dietary & Medical Lists
  • Ad Hoc Reports
  • Lead quality control check on all reports and Cvent platform for all attendees ensuring all is updated accordingly based on last minute requests from attendees/client
  • Assist Event Managers with site inspection documents and logistics
  • Support team with the development of pre-trip documents (content) and collating of all assets prior to shipping
  • Assist with the arrangement of shipments
  • Assist with the post-event reconciliation
  • Participate in additional tasks as required
  • Set up and development of program surveys and reporting on results

As our Registration Coordinator, you have:

  • A minimum 2 years proven experience in event, incentive travel or project management environment
  • Proven ability to meet deadlines and ability to handle multiple projects simultaneously
  • Strong computer skills (Advanced Excel skills an asset) (Outlook, Excel, Word, Power Point)
  • Excellent interpersonal, planning, organization (prioritize) and communication skills
  • A post-secondary degree/diploma or equivalent business experience
  • Experience in registration management or Trade Show environment is an asset
  • Flexibility in work schedule (early mornings, evenings and weekends)
  • Excellent written and oral communications skills
  • Good technical skills or ability to easily learn and adapt to new technologies
  • You must be curious and always looking for efficient ways of doing things
  • Fluent in English and French (Spoken and Written)
  • Cvent knowledge or any other registration platform is an asset
